Choosing a vehicle by seat count alone is the most common planning mistake we see. A 16-seat minibus may carry sixteen people travelling light, but a smaller group with suitcases, pushchairs or sports kit can need far more space. Here is how to get it right for a group journey anywhere in the UK.
Start with an accurate passenger count
Count every traveller, including children and anyone joining part-way through the journey. If numbers are still changing, share your best estimate along with the likely maximum, and we will plan around the maximum.
- Adults and children, listed separately
- Anyone being collected from a different pickup point
- Travellers who may need extra space or help boarding
Then add up the luggage
Luggage changes everything. As a rough guide, think about how many large suitcases, small cabin bags and bulky items the group will bring.
Tip: Airport transfers and holidays almost always need more luggage space than day trips. Mention every bag and oversized item when you ask for a quote.

Think about the journey, not just the group
The length of the journey matters as well as the number of people. On a two-hour motorway run, a little extra legroom and luggage space makes the trip far more comfortable. On a multi-day tour, every passenger has a suitcase that has to fit somewhere every day.
Check access at both ends
Pickup access, stops along the way and waiting time all affect which vehicle is suitable. Narrow village lanes, hotel drop-off areas, city-centre restrictions and venue access rules can all rule out a larger coach, while a minibus gets closer to the door.
